Position Summary
The Admin & HR Coordinator will provide operational, administrative, and human resource support to ensure the efficient functioning of the organisation. This role requires high levels of integrity, confidentiality, emotional maturity, and sensitivity to trauma-informed environments. The Coordinator will support recruitment, employee documentation, compliance, payroll coordination, office administration, and internal processes, ensuring alignment with organisational values and statutory requirements.
Key Responsibilities
A. Human Resources Coordination
- Support end-to-end recruitment processes, including:
- Drafting and posting job advertisements
- Screening applications
- Scheduling interviews
- Maintaining candidate records
- Coordinate onboarding and induction processes for new employees.
- Maintain and update employee records, contracts, and HR documentation.
- Assist in performance management processes, including documentation and review tracking.
- Coordinate staff leave management and attendance records.
- Support payroll processing in coordination with finance.
- Ensure compliance with statutory labour laws and organisational policies.
- Maintain strict confidentiality of sensitive employee and survivor-related information.
- Assist in organising staff training, team-building activities, and wellbeing initiatives.
B. Administrative Coordination
- Oversee day-to-day office administration and operational logistics.
- Maintain office supplies, asset registers, and vendor relationships.
- Coordinate travel arrangements and logistics for field staff and leadership.
- Support documentation and filing systems (physical and digital).
- Assist in preparing administrative reports and documentation for donors and audits.
- Ensure statutory registrations, renewals, and compliance documentation are up to date.
- Support safety and security protocols for staff and sensitive operations.
C. Policy & Compliance Support
- Assist in implementation of organisational HR policies and safeguarding protocols.
- Ensure adherence to child protection and anti-harassment policies.
- Maintain documentation related to compliance requirements.
- Support preparation for internal and external audits.
Required Qualifications
- Bachelor’s degree in Human Resources, Business Administration, or related field.
- Minimum 2–4 years of experience in HR and/or administration.
- Experience in the non-profit or social sector preferred.
- Knowledge of Indian labour laws and statutory compliance requirements.
- Proficiency in MS Office and HR documentation systems.

Compensation
Compensation will be commensurate with qualifications and experience, in alignment with non-profit sector standards.
